Printed Theses/Dissertations (prior 2008)
No Embargo
- 2 Copies delivered by SU Printing to Cataloguing Division.
- Catalogue entry was made for both copies.
- Hard copy was put on open shelf and paperback copy in Compact Storage.
Under Embargo
- 1 Copy accompanied by proof that embargo was approved. Date of release was printed on proof of embargo.
- Handed in at Special Collections, Library, by supervisor (and/or student).
- No catalogue entry made.
- Once embargo date expires, library staff contacts promoter to confirm.
- Special Collections will then release thesis/dissertation.
- Catalogue entry added and copy made available on the open shelf.

No Embargo
- Supervisor nominates student via portal, and is given the choice whether it should be open access/restricted access.
- Open access is selected.
- Students submits via SUNeTD, now SUNScholar Loader.
- Supervisor Accepts thesis via portal.
- Once items have been reviewed on SUNScholar Loader, they are moved to SUNScholar from where they are catalogued.
Under Embargo
- Supervisor nominates student via portal, and is given the choice whether it should be open access/restricted access.
- Restricted access is selected, with the embargo expiry date clearly indicated by the nominator.
- The nominator was previously requested to submit a letter of proof that the embargo was approved by Senate, when submitting the thesis, or any other e-mail correspondence from promoters or study leaders. It was removed on request during March 2011.
- Student submits via SUNScholar Loader (previously SUNeTD), behind the firewall.
- With SUNeTD (2008-2009): Copy was stored on secure server behind the firewall.
- With SUNScholar (2010-): Once items have been reviewed, they are moved to a RESTRICTED collection in SUNScholar.
- Strict restrictions apply: the Collection is closed, and all policies are removed from each item.
- No metadata or full text accessible – also not for harvesters or search engines.
- Once the embargo date expires, the item will be released automatically, and the item will be moved to the applicable department.
- PS: No confirmation calls will be made. The list of released items will however be communicated via the scholar@lists.lib.sun.ac.za mailing list, as well as on the SUNScholar news blog at http://blogs.sun.ac.za/sunscholar/.
